1. Introduction

1.1 Overview

Cloud HRMS Suite is a cloud-based Human Resource Management System. Employee login is at app.cloud-hrms.com and the admin panel at admin.cloud-hrms.com. It centralises all HR operations — onboarding, attendance, payroll, leave, shifts, and asset tracking — in one unified platform.

1.2 Purpose

The system eliminates manual HR processes by centralising employee data and automating payroll, leave, and headcount analytics. It provides real-time dashboards for data-driven workforce decisions.

2.3 System Setup Flow

Before using Cloud HRMS Suite, follow this mandatory sequence. Steps must be completed in order — for example, salary cannot be generated until attendance is marked and time cards are produced.

✅Correct Setup Order: Tenant Setup → Administration Setup → Roles → Employees → Users → Shift / Leave / Attendance Settings → Attendance Marking → Time Card Generation → Salary Generation.
1
Create Tenant
Set up your organisation's tenant account. This is the root container for all data in the system.
2
Fill Administration Data
Configure system-wide settings: Site Title, logos, mail server, tenant address, payroll options (Provident Fund, Gratuity), and more via Administration → System Settings.
3
Create Roles — Required before creating users
Define permission roles (e.g. HR Manager, Employee) so that newly created users can be assigned appropriate access levels.
4
Add Employees
Create employee records (Basic Info, Salary, Documents, Shifts, Leave, etc.) via Administration → Employee Management.
5
Create Users
Create login accounts for employees via Administration → User Management, linking each user to their employee record and role.
6
Send User Credentials / Invitation Email
From the User Management screen, use the ✉ envelope action icon to email each user their login credentials.
7
Configure Employee Settings
  • Employee Shift Settings — assign shift timings and grace time per employee.
  • Leave Settings — assign leave policies and configure leave restrictions.
  • Attendance Settings — link attendance rules and sync keys to each employee.
8
Mark Employee Attendance
Record daily attendance for employees via the Attendance Module before any time cards can be generated.
9
Generate Time Cards
Process attendance records into time cards for the relevant pay period via Attendance → Generate Timesheets.
10
Generate Salary / Payroll
Run payroll for the period. Salary generation requires attendance to be marked AND time cards to be successfully generated.
⚠️Salary cannot be generated until: (1) Attendance has been marked, (2) Time cards have been generated successfully, and (3) Payroll settings are fully configured.

5. Frequently Asked Questions

Q1: I forgot my password. How do I reset it? ▼
On the Sign In page, click Forgot Password? (right side, below the Remember Me checkbox). Enter your registered email. A reset link is sent to your inbox — click it and create a new password. Links expire in 30 minutes; request a new one if needed.
Q2: How do I switch between employee profiles without returning to the list? ▼
Use the Switch Employee dropdown in the top-right of any employee profile header. Start typing the employee’s name or ID code, select the correct person, and the system loads their profile immediately without navigating to the Employee List.
Q3: What is the difference between Save and Save & Continue? ▼
Save (blue) stores the current tab’s data and keeps you on the same tab. Save & Continue (green with arrow) saves the current tab AND automatically advances to the next tab. Use Save & Continue when building a new employee profile from start to finish.
Q4: Why does Vacant Positions show 15 when Approved is 27 and Current Employees is 12? ▼
Vacant Positions = Approved Headcount − Current Employees = 27 − 12 = 15. These are authorised, budgeted positions that do not yet have an active employee filling them. They represent your open hiring requirements.
Q5: Can I assign multiple assets to one employee? ▼
Yes. On the Assets tab, click + Add for each asset. Each row tracks independently: asset type, serial number, assigned date, received from, received date, and buy back date. There is no limit on the number of assets per employee.
Q6: How is Net Salary calculated? ▼
Net Salary = Gross Salary + All Allowances − All Deductions. For Sophia Miller: 55,000 + 11,000 (House Rent 20%) + 10,000 (Medical) + 5,500 (House Rent 10%) − 150 (EOBI) − 5,000 (Income Tax) = 65,350. The Net Salary field is read-only and recalculates instantly as you change values.
Q7: What happens if I turn off "Is Leave Allowed"? ▼
The employee is completely blocked from applying for any leave, regardless of their leave policy, balance, or any other toggle. Used for employees in their notice period, on suspension, or on administrative hold. All other settings remain saved but inactive.
Q8: What is the difference between "Employees" and "Probation/Contractual" in the sidebar? ▼
Employees shows all staff regardless of type. Probation/Contractual is a pre-filtered view showing only employees currently on probation or contractual terms — making it easier for HR to manage those on temporary or trial arrangements.
Q9: What is EOBI and does it affect payroll automatically? ▼
EOBI (Employees’ Old-Age Benefits Institution) is a government-mandated retirement contribution scheme. When "Enable EOBI" is ON and an EOBI Number is entered, the system automatically includes Employee and Employer contribution deductions in every payroll run. As seen in Sophia Miller’s salary, EOBI appears as a Fixed deduction of 150.
Q10: How do I export the employee list? ▼
On the Employee List screen, click the ⬇ Download icon (fourth icon in the top-right action bar — after Filter ≡, Add +, and Refresh ↻). The system exports the currently displayed and filtered list to a downloadable CSV or Excel file.

6. Troubleshooting Guide

🔐 Cannot log in — credentials rejected
  • Confirm Company Name is correct (e.g., "demo"). Ask your HR admin if unsure.
  • Passwords are case-sensitive. Check Caps Lock. Use the 👁 eye icon to verify typing.
  • Use Forgot Password? to reset credentials via your registered email.
  • Your account may have been set to Inactive — contact your system administrator.
📊 Dashboard charts are blank or not loading
  • Press F5 to refresh the page, or click the browser refresh button.
  • Clear browser cache: Settings → Privacy → Clear Browsing Data → Cached images and files.
  • Check your internet connection — charts require a live server connection.
  • Use Google Chrome or Microsoft Edge (recommended browsers for Cloud HRMS Suite).
💾 Employee record will not save — error appears
  • Look for fields highlighted in red — these are required (*) fields that are empty or invalid.
  • Ensure email address is unique — it cannot be shared with another employee.
  • Confirm all dropdown fields have a valid selection (not left blank).
  • Check CNIC format is correct (format: 5-7-1 digits).
💰 Net Salary calculation seems incorrect
  • Verify correct Salary Structure is selected for this employee’s grade.
  • Check Gross Salary is entered correctly (digits only, no commas).
  • Review allowance rows — check Allowance Type (Fixed vs. Percentage) and Salary Type (Gross vs. Basic) are correctly set.
  • Look for duplicate rows — use 🗑 delete to remove any accidental duplicates.
📎 Cannot upload a document or attachment
  • Accepted formats: PDF, DOCX, JPG, PNG.
  • Reduce file size if it exceeds system limits (typically 5–10MB).
  • Ensure a stable internet connection throughout the upload.
  • Do not upload password-protected files — the system cannot process them.
🌴 Employee cannot apply for leave
  • Check Is Leave Allowed master toggle is ON in Leave Settings tab.
  • Ensure a Leave Policy is assigned — without one, there are no leave quotas.
  • For web-based applications: confirm Is Web Leave Allowed is ON.
  • For mobile applications: confirm Is Mobile Leave Allowed is ON.
  • Check Leave Restrictions is not blocking the requested leave period.
⏰ Employee shift not reflecting in attendance records
  • Confirm shift was saved successfully (a success notification/toast should have appeared).
  • Verify the correct Shift name and Rest Days are selected.
  • Allow up to 5 minutes for system synchronisation after saving shift changes.
  • If issue persists after 24 hours, contact your system administrator.

8. Best Practices

👤 Employee Onboarding

  • Complete all tabs (Basic through Leave Settings) before the employee’s first working day using Save & Continue on each.
  • Upload a professional profile photo during initial setup for directory identification.
  • Set Employee Status to Active only after all tabs are verified and complete.
  • Verify the email address is correct before saving — it is the permanent login credential and cannot be duplicated.
  • Use Switch Employee to quickly move between profiles when onboarding multiple employees.

💰 Salary & Payroll Accuracy

  • Select the correct Salary Structure for the employee’s grade (Management vs. Staff structures differ).
  • After entering Gross Salary, confirm the auto-calculated Net Salary is reasonable before saving.
  • Enter the EOBI Number before enabling the EOBI toggle to ensure contributions are correctly registered.
  • Cross-check Account Title and IBAN with the employee directly before the first payroll run.
  • Use the 🗑 delete icon to remove any accidentally duplicated allowance or deduction rows before saving.

📊 Dashboard Monitoring

  • Review Headcount Analysis at the start of each month — check Current(12) vs. Approved(27) vs. Vacant(15).
  • Use the Dept—Actual/Approved/Vacant combo chart in recruitment meetings to prioritise hiring by department.
  • Monitor Gender Mix and Age Mix charts quarterly for diversity and inclusion reporting.
  • Hover over chart segments to confirm exact values — do not rely on visual bar height estimates.
  • Export the employee list monthly via the ⬇ download icon as an offline record.

🔒 Data Security

  • Never share admin login credentials — each administrator must have their own account.
  • Always log out when stepping away from your workstation.
  • Set Employee Status to Inactive immediately on resignation or termination — do not delete records.
  • Change your password every 90 days as a minimum security practice.

📄 Document Management

  • Attach critical documents (offer letter, contract, certificates) to the Documents tab on day of onboarding.
